Solicitation Description:

1)    SCOPE: Pursuant to Texas Government Code Section 2156.121, Use of Competitive Sealed Proposals, the Texas Facilities Commission is requesting proposals for video recording, production, live streaming, and hosting of agency public meetings and additional as needed services.

2)    CONTRACT TERM: This service shall be for a period beginning on the date the contract, as defined below, is executed by both parties, and shall expire on August 31, 2025.  The contract may be renewed for two (2)  additional two (2) year periods, provided the renewal is executed prior to expiration of the current contract term.   Any renewals shall be in writing and at the same terms and conditions, plus any approved changes.

3)    SCHEDULE OF EVENTS: TFC reserves the right to change the dates in the Schedule of Events set forth below upon written notification to prospective Respondents through a posting of an addendum on the ESBD.

a)      The solicitation process for this RFP will proceed according to the following schedule:

MANDATORY PRE-PROPOSAL CONFERENCES:

i)       The Pre-Proposal Conferences will be held in person on November 16, 2023 at 2:00 PM and November 17, 2023 at 10:00 AM. Attendance at one of the two mandatory pre-proposal conferences is required. Only those respondents on the sign-in sheets shall be permitted to submit a response.

ii)     The pre-proposal conferences will be held at:

Central Services Building 1711 San Jacinto Blvd. Austin, TX 78701 4th Floor Commission Board Meeting Room

iii)   Parking for the pre-proposal conferences is available in the first level of Parking Garage R located across the street at 1706 San Jacinto Blvd, the small visitor lot at the southwest corner of the building, or metered parking around the building. Upon arrival, contact the purchaser to be escorted to the conference room.

iv)    A mandatory jobsite walkthrough will be conducted immediately following each conference.
